Project Scheduling and Reporting Engineer


The central contact for the Integrated Project Time Schedule (IPTS) and project-level progress reporting. Prepares the IPTS Level-3 by co-ordinating with the concerned Stakeholders in Engineering, Procurement and construction.

General Sales Phase

  • Drafts the contract schedule and milestone plan jointly with the Project Manager Sales
  • Manages the scheduling interfaces cross-functional / cross entity and CoE with EM, PSCM and CM
  • Sets-up and aligns the project work breakdown structure and ensures their completeness according to the contract
  • Coordinates and monitors the creation of the project work breakdown structure in the ERP system based on templates and contract scope of work with the support of a structure planner, if necessary.
  • Drafts and updates periodically the project schedule based on the contract and on information from the project organization
  • Conducts scheduling meetings with members of the project organization as required

Project scheduling

  • Takes over schedule from sales phase and creates the initial level 3 schedule based on the information provided and in collaboration with Engineering Manager, Project Supply Chain Manager and Construction Manager
  • Checks the contract schedule and the milestone plan for plausibility and completeness jointly with the Project Manager
  • Participates in the kick-off meeting
  • Develops an appropriate progress report and progress measurement system for continuously monitoring of deviations and risks regarding schedule compliance and providing predictive project controls
  • Creates and maintains the project integrated work breakdown structure (IPS) in the scheduling software as basis for time schedule and creation of work packages
  • Initiates and controls the creation and maintenance of the project structure in the ERP system and ensures its completeness

Project controlling and reporting

  • Gathers periodically all schedule-related information from members of the project organization at the defined controlling intervals
  • Compares periodically the actual and expected dates with planned dates as variance analysis
  • Updates the project schedule
  • Provides schedule input for progress reporting
  • Analyzes the schedule with critical paths, near-critical paths, and scenario analysis to identify potential delays in an early stage
  • Distributes and files level 3 schedule related work packages and determines deadlines for preparation, return, review, and distribution of information
  • Reviews and aligns inputs for the level 3 schedule update with Engineering Manager, Project Supply Chain Manager, and Construction Manager

PRO/4 Role description

  • Incorporates aligned inputs relevant for the level 3 schedule based on input from level 4 provided by Engineering Manager, Project Supply Chain Manager and Construction Manager
  • Organizes, manages, and facilitates regular schedule update meetings with members of the project organization to report on status, progress and (potential) deviations from planned schedule
  • Initiates alignment of work breakdown structure in ERP system in the event of contractual changes/ modifications

Project closing

  • Contributes to “lessons learned” in regard to scheduling
  • Updates and backs up the complete scheduling data as well as the related progress reports
